How to add a footer to a Microsoft Word document

 

Easily add a footer to all pages in your document

Microsoft Word is the word processing software found in the Microsoft Office suite.The most recent version of the software is Word 2007, which varies from previous releases, mainly in that the docked toolbars of previous versions are now in one tab menu. However, all of the old features are still there if you know where to look.

Sometimes a document requires text to appear on all of the pages outside of the normal text, such as page numbers, title, author's name, chapter identifier, or submission number. When the information appears at the bottom of a page, it's called a footer. Microsoft Word has the capability to add a footer with a few clicks of the mouse.

Instructions
Step 1
Open the document

Be sure that the document you are adding a footer to is active in front of you. If you have several documents open, be sure to double-check that the menu you are selecting from belongs to the correct document.

Step 2
Choose the footer tool

The header, footer, and page number tools are grouped together in the Word toolbar.

  • Word 2007 - Choose "Footer" from the "Insert" tab. This will open a drop down menu of footer formats to choose from.
  • Earlier versions of Word - From the "View" menu, choose "Header and Footer". This will bring up the header/footer toolbar and a text box in the header of the document. Use the "switch between header and footer" icon to move the text box to the footer. It is on the right side of the toolbar and looks like a page with the header and footer sections of the page highlighted.
Step 3
Choose the footer format

Now that the footer tool is open, choose its format. The information can be positioned to the right, left, or center, and it can also be automatically populated with the date, title, or various auto-text options. Page numbers (represented by #) can be added via this tool in earlier versions of Word, but Word 2007 has a separate button for adding page numbers.

To bypass the automatic footer formats in Word 2007, choose "Edit Footer" at the bottom of the menu.

Step 4
Enter the footer text

The document should now have a footer text box visible. The footer text can be entered, edited, or formatted like normal text.

In Word 2007, if you accidentally click out of the footer while attempting to edit, a "Design" tab that usually is not in the menu should be visible. The footer menu is there. When finished with the footer, click the red X in the Design tab to return to normal writing functions. If wanting to edit the footer later, go to the "Insert" tab - "Footer" for the drop down menu- "Edit Footer"

Things Needed
Computer installed with Microsoft Office (or Microsoft Word alone)
Text document
Tips & Warnings   
The footer will appear on every page of the document.
A header (at the top of the page) can be added in a similar manner.
Page numbers may appear in the same space as the header/footer.
Use the buttons in the Design tab to add pre-formatted information and graphics in the footer.
